Sweepstakes FAQs for Accountants

We know that you’re looking for ways to better support and serve your clients as they adjust to a new way of running their businesses. For many, this means more remote work and less time in the office.  Fortunately, Bill.com can help you and your clients easily manage AP and AR, remotely and paperlessly, without sacrificing an ounce of control or visibility.

 

To help you bring more clients on board, we’re offering a chance at a $1,000 Visa card—or a charitable donation—to any new client you add to your console that pays a bill using Bill.com* in the next month. This sweepstakes runs now through July 7th. 
 

With tax season still upon us, we’ve made it easy for firms to learn more about the sweepstakes and how you can provide this incentive to bring your clients on board.

 

In this article, we provide you with the FAQs and link to a handy email template you can use to share with your new clients.

 

A Few Things You Need to Know

What is the Sweepstakes Promotion?  

The Sweepstakes promotion is open to all new clients that firms add to their console.  This promotion runs until July 7th and offers a daily sweepstakes with the winner’s choice of a $1,000 Visa gift card or donation to charity. The client must make a payment or have you make the payment on their behalf. 

 

They must pay a bill on or after June 8th to be automatically entered into the sweepstakes. Firms can also transact on behalf of their new client, and this will still count as a client transaction, making the client eligible.  

  
Here’s how to participate:

  1. Add your clients to Bill.com as you normally would.  Remember to add at least one client contact on their account, as it’s required to be eligible.**
  2. Encourage your clients to pay a bill (or pay it for them, if that’s your process)—for each additional payment the client makes until July 7th, they’ll get an additional chance to win! Note that clients are eligible for one (1) entry per day, even if they make multiple payments.
  3. Show your clients the value of Bill.com with online approval workflows, electronic payments, and controlled, remote access.

It’s a great way to get all your clients on the same, consistent workflow—and sweeten the deal for them at the same time!

How will this help me as an Accounting firm?

 Bringing new clients on to online workflows is more important than ever.  We’re hoping that by offering this incentive, it can provide that little nudge to bring those clients on the fence on board, and in turn, grow your firm.

Who is eligible? 

New clients you add to your console who run at least one transaction per day are eligible to be automatically entered into the daily sweepstakes. You may also transact on behalf of your new client(s), and this will count as a client transaction, making the client eligible.  

 

Accounting firms are not eligible to win. 

How will I know if my client wins? 

If your client wins, we will email the client to inform them that they have won.  We will email winners every Monday during the entry period. This is why it is important that you add your clients’  contact information. The primary user or console admin of the firm will be CC’d in the notification email, as well.

 

How will they get their winnings? Do I need to be involved in managing this? 

 

No, the firm will not need to be involved in managing any part of the process. Bill.com will  send an initial email to the client notifying them of the prize and that a W-9 will be sent their way.  Once the client completes the W-9, it routes directly back to the Bill.com team.

 

Then they will be contacted by our fulfillment partner (Tremendous) to claim their prize.  The winner will be able to select from options on the Tremendous website including a VISA gift card or a donation to a charity available on the vendor’s site.  They may also choose to split between a gift card and charitable donations. 

How long will this promotion be running? 

The promotion will run until July 7th, 2020.

Are there any tax implications for the customer?

When a customer wins a prize worth more than $599, they may be obligated to pay taxes on the prize money and we need to report the payout.  They can also choose to receive some of the prize as VISA e-reward and some of the prize donated to a charity on the Tremendous platform. However, because we are sending the funds to them directly and not the charity, they're still responsible for the taxes on that $1,000 (but they can write off the charitable donation).

Can I tell my clients about this?  

This promotion is available for new-to-Bill.com clients.  So absolutely, you can use this as a way to reach out to new potential clients and bring them onto Bill.com.  We’ve  created a template email to help you do just that. You can find the downloadable template here.
