FAQs on the New Client Account Top Navigation

The following document answers frequently asked questions regarding new product offerings and functionality in BILL, namely BILL Insights & Forecasting, BILL Spend & Expense, and switching between companies.

BILL Insights & Forecasting

A new category integrated into the BILL Financial Operations Platform. This category includes two tools: BILL Insights and BILL Cash Flow Forecasting. 

BILL Insights

What is BILL Insights? 

BILL Insights is a new feature included with the BILL Accounts Payable product. It includes seven out-of-the-box dashboards that aggregate past AP transactions and give  administrators in the client’s account visibility into opportunities to optimize  the client’s business. 

How do I get started with BILL Insights? 

Login to your client’s BILL account, and select the “Insights & Forecasting” tab in the top-navigation. Click “Payables Insights” in the left-nav. 

There is no setup required; you will automatically see seven dashboards with your client’s historical BILL AP data.  

What BILL pricing plans are BILL Insights available on? 

To use BILL Insights, a client will need to subscribe to BILL AP or AP/AR product. BILL Insights is not available to BILL Spend & Expense only clients right now.

BILL Cash Flow Forecasting

What is BILL Cash Flow Forecasting?

BILL Cash Flow Forecasting: A new product which includes cash flow dashboards with metrics such as Cash In and Cash Out, Net Cash Flow, and Cash Balance through a direct sync to QuickBooks Online. Plan for the future with predictive forecasting tools and custom visualizations that allow you to visualize cash flow in monthly, quarterly, or annual views to align with how you manage  a client’s fiscal year. 

How do I get started with BILL Cash Flow Forecasting?

Login to your client’s BILL account, and select the “Insights & Forecasting” tab in the top-navigation. Click “Cash Flow Forecasting” in the left-nav. 

Set up BILL Cash Flow Forecasting: To set up BILL Cash Flow Forecasting, you must be an administrator in this client’s account. First, you need to connect your client’s QuickBooks Online account to initiate the setup. This process may take some time. Upon completion, you will be able to set up user roles and permissions, and you’ll see charts populated with data from your QuickBooks Online account. 

What BILL pricing plans is BILL Cash Flow Forecasting available on? 

For now, to use BILL Cash Flow Forecasting for a client,  they need to have an active sync setup with QuickBooks Online.

Who will have access to Insights & Forecasting in BILL?

Anyone with administrator privileges for a given client will have access to Insights & Forecasting and will see the new tab

BILL Spend & Expense

What is BILL Spend & Expense?

BILL Spend & Expense is BILL’s expense management solution that combines free software with corporate cards to provide you with real-time visibility and customizable control over your client’s finances. Adding BILL Spend & Expense requires a business to apply for the BILL Divvy Corporate Card, the credit line that Spend & Expense uses to issue cards and credit lines. Learn more.

Who can access Spend & Expense in the client accounts?

Access to Spend & Expense will be available depending on the client’s application status and the role of the user working in BILL.

Pre-application

  • The Spend & Expense tab will appear for everyone before an application is started. Clicking on the tab will take you to a page with more information on Spend & Expense. 

Application is in-flight

  • If the application has been started then users will see the following based on their roles and user type:
  1. Client admins: Are taken to the application
  2. Client non-admins: Will see an “Application in-progress” status
  3. Console users: Are redirected to the Accountant Console to access the application.

Product activated

  • Once Spend & Expense is activated, meaning the application has been accepted and the Spend & Expense account is created, you will only see the tab if you have a role that gives you access to the Spend & Expense account. You can manage roles and permissions for Spend & Expense in the Accountant Console.

What are all the places I can start a BILL Spend & Expense application?

In addition to starting the application directly from the client’s BILL account, you can always start an application for a client from the BILL accountant console. Read more about that process here.

Who can apply for Spend & Expense?

Only those with administrator privileges for a given client will be able to start the application. This means that a client can start the application themselves. Administrators in a client account will see an “Apply Now” button on the Spend & Expense page.

What happens when a client initiates the BILL Divvy Corporate Card application?

When the application is initiated by the client, console admins who are assigned to the client will receive an email (see screenshot below) from BILL informing them that the client has started the BILL Divvy Corporate Card application.

Once the application has been started the client’s Spend & Expense account will be tied to the respective firm. The application status will be visible in the Accountant Console on the Clients page and in the Product tab in the Client Profile. 

Console Admins will need to assign roles for Spend & Expense in order to view the application. Once the application is accepted and the client is enabled with Spend & Expense, you will be able to access Spend & Expense for this client from BILL or from the Accountant Console.


Switching Consoles

How has switching between consoles and clients changed?

Switching between consoles and clients is just as easy as before, with a new look. You can now collapse the list of consoles to keep things tidy. Selecting “View All” takes you to the org select screen (the page you land on when you first log in as an accountant).

You still have access to all tasks from the previous experience. Simply select the tasks you want to see in the dropdown. You’ll be able to select from inbox items, overdue bills, and pending bill approvals.
